How do I know when workers have accepted their invitations and completed their startwork?
The project’s People dashboard provides real-time visibility into worker onboarding statuses. On the project’s People dashboard, you can see which workers have accepted invitations and completed required startwork documents.
When inviting a worker to a project, how can I tell if they already have a Wrapbook profile?
Checking to see if a worker already has a Wrapbook profile occurs during the invitation process:
When inviting a worker, you'll see options to choose between Existing worker or New worker
The Existing worker option will only appear if that worker has previously worked for the production company. If it's a new project or company, this option won't appear even if the worker has a Wrapbook profile elsewhere
Additionally, production admins can search for workers by name in the system, and verify their identity by checking their email address or the last 4 digits of their SSN if needed
Why can't I see some worker details?
To protect worker privacy, Wrapbook hides sensitive data such as tax identification numbers (SSNs, EINs, ITNs, and CBNs). Your ability to view this information depends on your assigned role and permissions in Company settings.
Authorized users can reveal hidden information by clicking on the hidden portion. By default, the following roles have access to view sensitive worker information:
Company Admin
Accountant
Company Manager
For custom roles, access to worker sensitive information is set to either Full access (can see workers' tax identification numbers) or None (masked information only). Users with None access will see masked tax identification information on payroll reports and tax documents.
To learn more about role permissions, see Custom roles.
How do I enter or update a project worker’s W‑4 withholding information in Wrapbook?
In Wrapbook, authorized production administrators have the ability to enter or correct a worker’s W-4 withholding information, only when the worker hasn’t previously entered the information.
When a production administrator updates a worker’s withholdings in Wrapbook, the worker is notified by email.
Before you start
Confirm you have permission to manage worker tax info in your production
Have the worker’s current W‑4 details ready, or confirm what needs to be corrected
Let the worker know they will receive an email stating, Your tax documents have been updated
How to add or update a worker’s W‑4 withholding information
In the left-side navigation, click the dropdown menu to select the project that the worker is part of
On the project dashboard, in the Onboarding & verification section, click the View people link
On the project’s People dashboard, click the View button next to the worker that you want to add/update withholding information for
On the worker’s profile, scroll down until you see Withholding information, and then click the Add or Edit link to make the update
The Add button will only be visible if the worker’s personal information has already been added
Enter or update the required fields
When you’re ready, click the Save button
What happens next
The worker gets an email notification that their tax documents were updated
The worker can review and change their W‑4. If they do, your ability to add or edit their withholding information is removed and their elections are used for payroll going forward.
What can I do as a production administrator if Wrapbook won’t let me add or update a worker’s W-4 withholding information?
When a worker has already updated their W‑4 withholding information, you’ll see the following message if you try to update the information: Failed to save withholding information. The worker has updated this withholding.
In this case, ask the worker to make any further changes from their Wrapbook account. You can give them the link to this help article that provides the step-by-step instructions.
How can I delete a project invitation that was sent to a worker?
In Wrapbook, the project invite is sent immediately after you click the Submit button; meaning once it’s been sent, you cannot unsend it.
However, authorized production administrators, do have the following options when the worker has not yet been paid…
If the project invitation was sent to the wrong email address and project onboarding hasn’t been completed for the worker, you’ll be able to go to the worker’s profile and click Edit next to the worker’s email to enter the correct information. When this is done:
The link in the project invitation that was sent to the wrong email address is invalidated
A new project invitation with a fresh link to join the project will be sent to the updated email address
If you want to remove the worker from the project:
When a worker is removed from a project, the link in the project invitation that was sent will be invalidated
If you need additional help rescinding or reissuing a project invitation, or removing a worker from a project, please contact the Support team.
