Add and manage worker deals on a project

Overview

In Wrapbook you can send and manage more than one deal for a single worker on the same project. This means if a crew member changes roles, picks up an additional position, or needs to be hired under a different union or rate structure mid-production, you can send them a new deal without creating a duplicate worker profile.

Each deal is its own distinct hiring engagement with its own job details, pay rates, dates, locations, allowances, and startwork documents, keeping your records organized and accurate throughout production.

Note: The ability to assign multiple worker deals is available on film and television projects by request. For more information, contact your Wrapbook Customer Success Manager or the Support Team.

What each deal includes

Every deal you create for a worker contains its own set of hiring details, independent of any other deals on the same project:

  • Deal name (optional, but recommended for easy identification)

  • Start and end dates

  • Job title and union affiliation

  • Rate(s) (daily, weekly, or hourly)

  • Work location(s)

  • Allowances (kit, box, per diem, etc.)

  • Startwork documents and agreements

  • Notes

How to view deals on a worker's profile

Deal information can be viewed on the project worker's profile and timecard.

Deal summary

At the top of a worker's profile, click the Deals summary toggle to display all active deals for that worker. Each deal shows:

  • Worker type, job title, and union

  • Primary rate and any additional rates

  • Allowances (if applicable)

  • Deal dates

If a worker has multiple deals, each one is displayed as a separate tab. Click on a tab to see its details.

Editing a deal

Before startwork is signed

To edit a deal directly from the worker's profile page:

  1. Under Deals, click the deal’s tab

  2. In deal’s Job & pay section click Edit

After startwork is signed

If a worker has already signed startwork that includes fields such as start date or pay rates, editing that deal will trigger a change form instead of a direct edit. You'll be prompted to confirm the changes and whether the startwork documents should be regenerated. If documents are regenerated, the worker will receive an email notification that their startwork has been updated.

To edit a deal from a project worker's timecard:

  1. Click View worker details

  2. Next to the Rate details, click Edit

Editing multiple deals at once

When submitting a change form for a worker with multiple deals, you can update each deal from a single form using deal-specific tabs. All changes are submitted together.

How to add a deal to a project worker

Once a worker has been invited to a project and their first deal is active, you can add additional deals directly from their worker profile page.

  1. In the left-side navigation, click the dropdown menu to select the project

  2. In the left-side navigation, click People

  3. Use the search and filter to find the worker and then click on their name or the View button to open their worker profile

  4. Click the  Add new deal button

  5. Fill in the deal details:

    • Deal name - Optional but recommended. If you do not enter a custom name, Wrapbook will generate one automatically based on the job title.

    • Dates

    • Work locations

    • Affiliation

    • Allowances

    • Required startwork

  6. When you're ready, click the Send deal button. The worker will receive an email notification with the deal details.

Worker onboarding for additional deals

When adding a new deal to a worker who is already onboarded, you'll be prompted to choose how onboarding will be completed for the new deal:

  • Worker: The worker receives an email notification and completes or re-signs the relevant startwork documents for the new deal on their end.

  • Production company: You manually enter the necessary details on behalf of the worker. No notification is sent to the worker in this case.

Note: The onboarding method for additional deals follows the method used for the worker's first deal. If the initial deal was manually completed by the production company, only the production company option will be available for subsequent deals.

If the worker will need to complete or re-sign startwork for the new deal, a banner will appear on the deal form to remind you before you send.

Will my worker need to re-onboard for a new deal?

No. Workers do not need to re-enter their personal tax information, payment method, or I-9 for additional deals. They only need to complete or sign the startwork documents specific to the new deal.

Where can I see all of a worker's deals in one place?

The worker's project-level profile page includes a Deal Summary section listing all of their deals. You can also use the Deal tabs to navigate between individual deals.

What if I need to send a deal to a worker's agent instead of directly to the worker?

If Agent information has been added to the project worker's profile you can direct the new deal notification to the worker's agent. Contact your Wrapbook Customer Succes Manager or the Support Team for details on this setup.
