Payroll and location management

On the Complete payroll setup page you’ll enter details necessary for Wrapbook to accurately calculate worker pay, taxes, and other withholdings.

Notes:

  • If your project involves unions, film, or television, the Wrapbook Contracts Team and your Customer Success Manager will configure some project settings to ensure that worker payments are accurate and benefits, including pension and health contributions, are properly handled.

  • If a project setting is locked and you need help updating it, please contact your Wrapbook Customer Success Manager or the Support Team for assistance.

Access Payroll settings

Payroll settings are permission based

To update, your account must have one of the following roles enabled:

  • Role: Company Admin, Company Manager, Project Coordinator

  • Custom role with: Project management - Full access, Manage

To access Payroll settings:

  1. In the left-side navigation, click the dropdown menu

  2. In the dropdown menu, select the name of the project that you want to see the settings for

  3. In the left-side navigation, click Project settings

  4. Under PROJECT SETTINGS, click Payroll and location management

If you make any changes to project Payroll settings, be sure to click the Save changes button before leaving the page.

Payroll and location management settings options

In a project’s Payroll and location management settings you can see the following information:

Estimated total project payroll

  • This payroll estimate will be used to help track the progress of your labor costs

Regular pay period

Payday

  • This is the day that a worker should receive payment

Shoot days

  • If there are different prep/wrap/shoot day line codes for individual workers, you can specify the shoot days here

  • Configuring shoot days here is required for the Shoot cost code field to work when setting up a worker's invitation under Job dates & pay

  • When shoot days are added, Wrapbook can automatically determine which cost code to apply to a timecard based on the day’s rate

Work locations

  • Each location where workers will be working is listed here

  • It’s important to make sure work locations are accurate. As your Employer of Record (EOR), Wrapbook will submit all city and state taxes on your behalf.  

  • While city and state are sufficient location details in most states, the following states require full addresses for local tax reporting purposes: Kentucky, Ohio, Oregon, and Pennsylvania

  • If you add a new work location to a project, be sure to update the worker details to enable workers to select the new location on their timecards and expense forms

Non-union meal settings

  • When a work location is added to a project, you have the option to assign Non-union meal settings as either California meal settings, Paid meals, or Deductible meals

  • If you’re unsure what each of the options mean, hover your cursor over the info icon to see details

Production incentives

  • If you’ll be applying for production incentives at any of the work locations you’ve added, be sure to choose Yes

  • When applying for production incentives, you can use the following Wrapbook information if requested. Note that Wrapbook’s official company name is TakeOne Network Corp.

Work from home

  • If you’re allowing project workers to work from home, be sure to choose Yes, and select your Non-union meal settings for all work-from-home locations from the dropdown menu

If you make any changes to the the information in the project’s Payroll and location management settings, click the Save changes button.

Locked payroll settings

Once you process your first payroll run, the following settings become locked and cannot be edited:

  • Project start date — hard locks at the first payroll run and cannot be changed thereafter

  • Pay period interval (weekly, bi-weekly, semi-monthly) — locks once the first worker has been paid

  • Paydays (day of week, period one, period two) — locks once the first worker has been paid

  • Permitted worker types (employees, loan outs, contractors) — locks at the first payroll run. Wrapbook recommends selecting all applicable worker types before running payroll, as this cannot be changed later.

  • Work location / project address — locks once any regular payrolls exist for the project

What can still be updated at any time:

  • Project end date — can always be extended or shortened, even after payroll has run

  • Contact email address — never locks
