Budget/EFC dashboard (PAS)

The Budget tracker/EFC dashboard is permission based

To access the Budget tracker in Wrapbook, your account must have one of the following roles enabled:

  • Role: Company Admin, Accountant

  • Custom role with: Accounting settings - Full access

The Budget/EFC dashboard in the Production Accounting Suite (PAS) is where you can manage and track all costs associated with a production project.

Access the Budget/EFC dashboard

  1. Make sure Production Accounting has been enabled for your company’s account

  2. In the left-side navigation, click the dropdown menu

  3. In the dropdown menu, select the project that you want to see the Budget/EFC for

  4. In the project dashboard’s Budget & EFC overview, click View budget

Dashboard elements

The Budget/EFC dashboard contains the following information:

Project budget

The itemized list of costs associated with a production that appears in the dashboard table.

ACCT

Line items within each ACCT are listed in the table. To view the details of an ACCT line item, click the line number. A panel will open containing a list of the Actuals & POs.

In the panel you can:

  • Click on the individual POs and AP transactions to see the details and make updates.  

  • Click EFC reason history to see any recorded reasons for changes made to the EFC amounts over time

Period actuals

The Period actuals column in the table lists the actual expenditures or costs that have been incurred and recorded during a specific accounting period (such as a week, month, or quarter) in a production.

Actuals to Date

The Actuals to Date column in the table lists the cumulative actual costs from the start of the project through the current date⁠.

POs

The POs (purchase orders) column in the table lists the money that is committed to be spent but hasn't actually been paid out yet.

Total to Date

The Total to Date column shows the total of actuals plus any open POs.

ETC

ETC (estimate to complete) is a calculated value representing how much the project has left to spend using the formula: ETC = EFC - Total To Date

EFC

EFC (Estimated Final Cost) is the number that updates based on budget adjustments for actual costs that have been incurred.

Variance and Period variance

Variance is the difference between the EFC and the budget amount, using the formula:
Variance = EFC - Total Budget

When Approved overages is enabled, the variance formula is updated to:
Variance = (EFC - Total Budget), where Total Budget = Budget + Approved overages

Period variance shows changes in the EFC between time periods, using the formula:
(Current Period EFC) - (Prior Period EFC)

Approved overages

Approved overages refers to additional funding provided when a production exceeds its initial budget, commonly called an "overage" or "breakage".

When Approved overages are enabled in the budget settings, it adds two columns to the Budget/EFC dashboard:

  • An editable Approved overages column where users can enter the additional approved funding amounts

  • A read-only Total Budget column that sums the original budget and approved overages amounts

Details and Summary views

On the Budget/EFC dashboard you can:

  • Click the Details tab to see a breakdown of the line items within each ACCT section

    • Use the Search box to find specific line items

    • Click the toggle next to Show $0 accounts to hide/show ACCTs with no entries

  • Click the Summary tab to see a summary of each ACCT section
