Overview
This guide walks you through connecting your Sage Intacct instance to Wrapbook so payroll data flows automatically into your General Ledger. When you issue a payroll in Wrapbook, the integration pushes an AP Bill to Sage Intacct for your AP team to review and post.
Setup time: 30–45 minutes (includes Sage Intacct configuration + Wrapbook connection)
Who this is for: Sage Intacct administrators and company owners with full permissions to manage integrations and configure web services.
Permissions required
To set up the Sage Intacct integration, your account must have the following permissions
Wrapbook: Company Admin
Sage Intacct: Company Admin role or equivalent access to Web Services configuration
What the integration does
What flows from Wrapbook to Sage Intacct
Each time you issue a payroll in Wrapbook, an AP Bill is pushed to Sage Intacct approximately 1–2 minutes after issuance. The bill arrives in draft state — your AP team reviews, adjusts if needed, and posts it in Sage Intacct.
Each Bill includes:
Vendor: default vendor configured (e.g., Wrapbook)
Bill number: the Wrapbook payroll display ID (e.g.,
Payroll-00748134)Document date: the payroll's issue date
Lines: one line per pay type per worker, plus fringes (Employer Taxes, Workers' Comp, Platform Fees, etc.) broken out and consolidated by category — grouping is configurable per project
Dimensions: the dimensions enabled for your Wrapbook company
What flows from Sage Intacct to Wrapbook
Wrapbook reads the following from Sage Intacct to populate your mapping configuration. This is read-only — Wrapbook never writes back to your Intacct data:
Chart of Accounts
Vendors
Standard dimensions (Location, Department, Project, Project task, Class, Item)
Locations (entities), used to tag each bill line with its entity
Data syncs automatically every 24 hours. Manual refresh is available when you add new GL accounts or dimensions to Sage Intacct.
Supported dimensions
The integration passes the following Sage Intacct dimensions on AP Bill lines:
Required:
Account (GL account) — Typically set as a default for payroll expense accounts (wages, taxes, fringes) at the company level; can be overridden per project
Vendor — The Wrapbook vendor record; set once during integration setup
Optional (configurable per project):
Project — Allocated against specific projects; synced from Sage Intacct project list
Project task — Sub-line item allocation within a project; optional if projects are enabled
Location — Entity/multi-location tracking; synced from your Sage Intacct entity structure
Department — Departmental allocation and cost center tracking; synced from your Sage Intacct departments
Class — Independent, flexible dimension you can repurpose for your organization's needs (e.g., Industry, Product Line, Service Type, Grant Category); synced from your Sage Intacct class list
Item — Analytical classification tag to associate payroll transactions with specific products, services, or billable offerings; synced from your Sage Intacct item list
User can set defaults at the company level in Wrapbook and override them per project. Only the dimensions you enable will sync from Sage Intacct and be available for mapping.
Limitations
⚠️ Custom fields are NOT currently supported.
⚠️ Employee dimension and User-Defined Dimensions (UDDs) are not supported. Only standard Sage Intacct dimensions are passed.
Before you start
The setup steps in Sage Intacct are all performed in your Sage Intacct instance and require expertise with your ERP system. If you run into issues creating users, configuring permissions, generating API credentials, or understanding your system's configuration — contact your Sage Intacct administrator or support team.
Have the following ready before beginning setup:
Sage Intacct administrator username and password — needed for Web Services configuration
⚠️ If you don't have admin credentials, contact your Sage Intacct administrator or support team to complete Step 1
A vendor record for Wrapbook in Sage Intacct (Create one manually if it doesn't exist — the integration does not auto-create vendors. Common name: "Wrapbook" or "Wrapbook Payroll")
Project chart template — optional but recommended; start from the Wrapbook template or a blank template
Dimension requirements — know which of Project, Project task, Location, Department, Class, and Item your GL accounts require on transaction lines.
GL accounts confirmed — know which accounts you'll use for payroll:
Wages/salaries
Overtime
Employer taxes (payroll tax payable account)
Reimbursements
Fringes/benefits
Platform fees
⚠️ Multi-entity setup? Wrapbook connects at the top level of your Sage Intacct company, and bills post at the top level. Sage Intacct assigns each bill line to an entity based on its Location. Make sure every project has a Location — set a company default in Step 2 or override it per project in Step 4.B.Step 1: Sage Intacct Web Services Setup
All steps below are performed by a Sage Intacct administrator in your Intacct instance.
1.A Enable Web Services (if not already enabled)
If Web Services is already enabled, skip to 1.B.
Log in to Sage Intacct as an administrator
Navigate to Company Admin → Subscriptions
Scroll down to find Web Services
Confirm the company is subscribed to Web Services
1.B Add Web Services Authorization
Navigate to Company Admin → Company
Click the Security tab and click Edit
Scroll to the Web Services Authorization section and click Add
In the pop-up window, enter the Web Services Sender ID and a description, then click Save
Note: Copy and save the Sender ID and password provided by Sage Intacct — you'll need these for Step 2 (Wrapbook connection).
1.C Create or Configure a Web Services User
Navigate to Company Admin → Users → Web Services User → Add
Fill in the user details:
User ID:
wrapbook_payroll(or similar)Last name: Wrapbook
First name: Integration (or use "Payroll")
Email address: integration-support@wrapbook.com or your internal IT email
User type: Business
Admin privileges: Off
Scroll to the Roles Information section and assign a role with the following permissions:
Minimum Required Permissions:
Module | Object | Permission |
|---|---|---|
Company | Entities | List, View |
Locations | List, View | |
Departments | List, View | |
Classes | List, View | |
Purchasing | Items | List, View |
Projects | Projects | List, View |
Tasks | List, View | |
General Ledger | Accounts | List, View |
Accounts Payable | Vendors | List, View |
Bills | Add, Edit, List, View |
Scroll to Entity Level Access, enable Top Level Access, and click Save. Wrapbook posts bills at the top level, so top-level access is required.
Note: Copy the Web Services user credentials (User ID and password) — you'll need these for Step 2.
Step 2: Connect Wrapbook to Sage Intacct
Note: You'll need the Web Services credentials from Step 1 (Sender ID and password, plus Web Services user ID and password).
In Wrapbook, go to Company Settings → Integrations → Sage Intacct
Click Connect to Sage Intacct
Enter your Intacct credentials:
Company id: Sage Intacct Company id
Sender ID: (from Step 1.B)
Sender ID Password: (from Step 1.B)
Web Services User ID: (from Step 1.C)
Web Services User Password: (from Step 1.C)
If multi-entity, select the Entity you want to integrate
Click Connect your data — Wrapbook will now sync your GL accounts, vendors, and dimensions from Intacct. This typically takes 2–5 minutes.
Set company-level defaults
After connecting, configure your company defaults:
Default vendor: select the default vendor from the vendor list
Default GL/expense account code — this is the fallback account inherited by all projects
Enable dimensions: Under Company Settings → Integrations Settings → Edit Dimensions, select which optional dimensions apply to your GL accounts: Location, Department, Project, Project task, Class, and Item
Step 3: Configure your Chart Mapping
Before configuring individual projects, set up your Project Chart Template — this is done once and reused across projects.
A. Select the Chart of Accounts
Go to Company Settings → Project chart templates → Edit
Select an AICP or custom chart already mapped at the company level
Each chart line maps to a single GL account. Any other dimensions are applied separately at push time based on the project or company defaults; they are not configured at the individual line level.
B. Map fringe lines
The project chart template includes fringe-bucket rows (Fringes, Employer Taxes, Platform) that do not auto-populate from your COA. Add these to your project chart and map each to the corresponding GL account:
Employer Taxes → typically mapped to employer payroll tax payable account
Platform → typically mapped to platform/processing fee expense account
Fringes → typically mapped to benefits or fringe benefit expense account
⚠️ If fringe lines are left unmapped, the resulting Bills will include lines without a GL destination and Sage Intacct may reject the push.
Step 4: Configure each project
After the company-level connection is set up, each Wrapbook project needs the following confirmed before its first payroll sync.
A. Assign the Chart Template
Go to Project Settings → Cost tracking, enable Accounting chart, and select a Chart Template from the dropdown. Use Manage chart to review or adjust the chart's line-level mappings if needed.
B. Set project-level dimension overrides (optional)
Go to Company Settings → Integrations Settings → Edit to override dimensions for a project. Each dimension can be overridden at the project level under the Override project dimensions section. If not overridden, dimensions inherit the company-level defaults.
C. Verify timecard coding is complete
The auto-push fires approximately 1–2 minutes after payroll issuance with no manual review step. Make sure all timecards are fully coded before issuing your first payroll.
How coding gaps affect the push depends on the field type:
Required fields (GL account and Vendor): If either is missing, the push will fail entirely — you'll see a "Failed" status in Integration history
Dimensions (Location, Department, Project, Project task, Class, Item): Behavior depends on how each dimension is configured in Sage Intacct. If a dimension is marked required in your Sage Intacct instance, a missing value will cause the push to fail. If it's optional, the bill will sync but that dimension will be left uncoded on the line.
See Troubleshoot a failed push, below, if a payroll doesn't sync after issuance.
Header Mapping: Wrapbook Payroll → Sage Intacct Bill Header
These fields appear once at the top of each Sage Intacct Bill.
Wrapbook Source | Sage Intacct Bill Field | Notes |
|---|---|---|
Payroll ID | Bill number | Wrapbook payroll ID appears in the Bill number field for reference |
Payroll Issue Date | Date / GL posting date | The date the payroll was issued in Wrapbook |
Vendor | Vendor | Must exist in Sage Intacct; Set a default in Company Settings or override per project. Pay to, Return to, and Term inherit from the vendor record. |
Project name + pay period | Description | Identifies the project and pay period the bill covers |
Payroll documents | Attachment | Attached to the bill, named with the payroll ID |
Payroll Total | Bill total | Sum of all entry lines; matches the Payroll Total in Wrapbook |
Line-Item Mapping: Wrapbook Payroll → Sage Intacct Bill Entries
Below shows how different payroll components appear as separate Bill entry lines.
Payroll Component | Bill Line | GL Account Source | Amount | Description (Bill Memo Field) |
|---|---|---|---|---|
Base wages | Wages | From company default or project chart | Gross wages (before taxes/fringes) | Employee name, job title, hourly rate (if applicable), # of days worked |
Overtime wages | Overtime | From project chart (if configured separately) | Gross OT wages | Same description pattern as base wages |
Reimbursements | Reimbursements — 1 line per reimbursement type per worker | From project chart (reimbursement account) | Total for that reimbursement type (e.g., two Mileage payables of $61.56 and $9.12 post as one $70.68 line) | Employee name, job title (e.g., "Darrick Stracke, Property Master Loan Out...") |
Employer taxes | Employer Taxes | From project chart (tax account) | Calculated tax amount | Aggregate FICA, FUTA, SUTA by payroll |
Benefits/Fringes | Fringes | From project chart (fringe account) | Fringe cost total | Aggregate cost (health, 401k, workers comp, etc.) |
Platform fees | Platform Fee — can split across multiple lines | From company default or project chart | Wrapbook platform fee | "Wrapbook Platform Fees" |
Dimensions: Each line also carries the dimensions you enabled in Company Settings → Integrations Settings → Edit Dimensions (Location, Department, Project, Project task, Class, Item), using the company defaults or project overrides.
After go-live: Dimensions data sync
Initial sync on connection
When you enter credentials in Step 2, Wrapbook immediately fetches your Chart of Accounts, vendors, and dimensions. This data appears in your mapping UI within 2–5 minutes.
Ongoing data refresh
Wrapbook syncs dimensions data from Sage Intacct every 24 hours from the time of initial connection.
Object | Direction | Frequency | Notes |
|---|---|---|---|
Chart of Accounts | Sage Intacct → Wrapbook | 24 hours | — |
Vendors | Sage Intacct → Wrapbook | 24 hours | — |
Dimensions | Sage Intacct → Wrapbook | 24 hours | — |
AP Bills (payroll) | Wrapbook → Sage Intacct | Real-time | Pushed 2–3 minutes after payroll issuance |
Manual refresh
If you need data to update immediately (for example, you just added a GL account in Sage Intacct):
Go to Company settings → Integrations settings → Edit
Click Refresh Connection
Updated lists appear within 2–5 minutes
⚠️ Adding new GL accounts or dimensions before mapping a new project? Use the manual refresh button.
Viewing sync status and syncing payrolls
Check sync status
After a payroll is issued, you can confirm whether the push to Sage Intacct succeeded:
Go to Company Settings → Integration history
Find the payroll row and check the Status column. You can filter by Type, Status, Project, or Date range, or search by Entity ID.
Status | Meaning |
|---|---|
Successful | The bill was pushed to Sage Intacct |
Failed | The push didn't go through. The reason appears in the Description column |
Pending | The push is in progress. Refresh in a few seconds. |
Fix a failed push
Failed rows show what went wrong directly in the Description column, along with:
Why did this fail? opens a plain-language explanation of the error and what to fix
A fix link where one is available (for example, Map chart line cost codes) that takes you straight to the setting to correct
Retry sync re-attempts the push once you've fixed the issue. It appears on Failed rows only.
Deleting the integration
⚠️ This action is permanent. Only delete the integration if you're certain you won't reconnect.
Go to Company settings → Accounting → Integrations → Manage
Click Delete next to Sage Intacct and confirm
What happens when you delete:
The connection is removed
All configuration is deleted: company defaults, project overrides, field mappings, dimension settings
Dimensions data is cached in Wrapbook but no longer synced from Sage Intacct
Payroll issuance in Wrapbook continues to work, but no Bills will sync to Sage Intacct
Troubleshooting
Troubleshoot a failed push
Find the failure. Go to Company Settings → Integration history and find the row with a Failed status.
Read the error. The reason appears in the Description column. Click Why did this fail? for a plain-language explanation of what went wrong and what to fix.
Check the likely causes, in order:
Is a Chart Template assigned to the project? Go to Project Settings → Cost tracking and confirm Accounting chart is enabled and a chart is selected. No chart assigned means any coding is accepted, which can cause downstream mapping gaps.
Does the fringe mapping exist? Go to Project Settings → Cost tracking → Manage chart and confirm fringe-bucket rows (Fringes, Employer Taxes, Platform) are mapped to GL accounts, not left blank.
Are dimension overrides missing? Check Company Settings → Integrations Settings → Edit → Override project dimensions to confirm required dimensions (Location, Department, Project, Project task, Class, Item) are set for this project.
Fix and re-sync. Once the gap is corrected, click Retry sync on the failed row and confirm the Status updates to "Successful" within ~15 seconds.
Web Services connection errors
Symptom | Cause | Fix |
|---|---|---|
"Invalid credentials" on connection test | Sender ID or password is incorrect, or the Web Services subscription is not enabled | Verify Sender ID and password in Sage Intacct (Company Admin → Company → Security → Web Services Authorization). Confirm Web Services subscription is enabled in Company Admin → Subscriptions. |
"Web Services user not found" or "Invalid user" | Web Services user ID or password is incorrect | Return to Sage Intacct (Company Admin → Users → Web Services User) and verify the user ID and password. Confirm the user is marked as active. |
"User does not have permission to [module]" | Web Services user lacks required permissions | In Sage Intacct, navigate to the user's role and verify it has the minimum permissions listed in Step 1.C. Add missing permissions and save. |
"Top Level Access required" or "Entity access denied" | Web Services user does not have the correct entity-level access | Return to the Web Services user in Sage Intacct (Company Admin → Users → Web Services User → Edit). Scroll to Entity Level Access and enable "Top Level Access". |
AP Bill validation errors
Symptom | Cause | Fix |
|---|---|---|
Bill push fails with "Vendor not found" | The Wrapbook vendor record does not exist in Intacct | Manually create a vendor record named "Wrapbook" in Sage Intacct (Accounts Payable → Vendors → Add). Set it up for AP transactions. Once created, Wrapbook will use it automatically for future bills. |
Bill push fails with "Account not found" or "Invalid GL account" | A GL account referenced in the chart mapping does not exist in Intacct, or the Web Services user lacks view permission on that account | Verify the GL account exists in Sage Intacct (General Ledger → Chart of Accounts). Confirm it is not marked as inactive. Verify the Web Services user has "List, View" permissions on General Ledger Accounts. |
Bill push fails with "Missing required dimension" | A dimension (Location, Department, Project, Project task, Class, or Item) is marked as required on the GL account in Intacct, but Wrapbook did not supply a value | Review the GL account configuration in Intacct to see which dimensions are required. Update the project chart mapping in Wrapbook to include a default for that dimension, or ensure all timecards are coded with a value for that dimension before payroll issuance. |
Bill push fails with "Location/Entity required" | Multi-entity setup: the bill does not specify which entity/location it belongs to | Set a default Location (entity) at the company level (Step 2) or as a project override (Step 4.B). A bill line has no Location, so Sage Intacct can't assign it to an entity. |
Bill creates in Intacct but with wrong GL account | Project chart mapping was changed after payroll issuance, or timecard was coded to a different account than the default | Bills use the chart mapping and timecard coding at the time of issuance. To correct the GL account, manually adjust the bill in Sage Intacct. |
