How to fill out and submit your timecard

Overview

A timecard in Wrapbook is how you record your hours, meals, and expenses for each workweek on a project. Once submitted, your production team reviews and approves it before your pay is processed.

Before you start: Select the right workweek

When you open your timecard, you'll see a workweek dropdown at the top of the page. This lists all available workweeks for your project.

To navigate to your timecard:

  1. In the left-side navigation, click All projects

  2. Click the View Project button next to the project you want to submit a timecard for

  3. In the left-side navigation, click Timecard

  4. At the top of the page, click the workweek dropdown and select the dates that match the week you worked

Tip: By default, Wrapbook displays the most recent workweek. Always confirm the dates match the week you're recording before entering any time.

What to do if your workweek isn't in the dropdown

If the workweek you worked doesn't appear in the dropdown, the workweeks available are determined by your project's setup. If the dates you need aren't showing, your Production Coordinator needs to configure the project dates first. Contact your Production Coordinator and let them know which workweek you need access to.

Fill out your timecard

Once you've selected the correct workweek:

  1. In the Week Breakdown, click the toggle next to each day you worked to expand it

  2. Enter your Start Time and End Time for each day

  3. Enter your Meal Start and Meal End times (meals must fall within your work hours)

  4. If you worked at multiple rates, click the Rate dropdown to select the appropriate rate for each type of work performed

  5. If you need to add expenses or allowances, click the dropdown menu under Select an allowance or expense

  6. Optionally, click View/add notes to leave a message for your production team

Meal breaks

The following are general guidelines for recording meal breaks in Wrapbook. Rules vary depending on your union affiliation and work location — contact your Production Administrator for the specifics that apply to you.

  • Enter Meal Start and Meal End times within your workday

  • Use the + Add Meal button to add multiple meal breaks

  • Meal breaks must fall within your work hours — do not enter meals before your Start Time or after your End Time

  • In California, meal penalties are mandatory for non-union workers if no 30-minute break is provided within the first 6 hours of work

  • The maximum meal break deduction is 1 hour in California

  • Only one non-union meal penalty is paid per day, regardless of how many violations occur

NDB (Non-Deductible Breakfast)

An NDB is a paid meal break of at least 15 minutes given to crew members who report to work earlier than general crew call. It resets the meal break clock so the worker's break aligns with the rest of the crew, and must be given within 2 hours of the worker's call time.

To enter an NDB on your timecard:

  1. On your timecard, expand the day the NDB applies to

  2. Check the NDB checkbox at the end of the meal break row

  3. Enter the NDB start time in the meal break fields

  4. Save your timecard entries as usual

If the NDB checkbox doesn't appear on your timecard:

There are two possible reasons:

  • Your project is not configured for union timecards — contact your Production Coordinator to confirm your project setup

  • Your union local's agreement does not include NDB provisions — check with your Production Coordinator or union rep to confirm whether NDB applies to your agreement

Adding expenses and allowances

You can add kit/box fees, mileage, per diem, and other expenses directly to your timecard. To learn more, see About Allowances & Expenses.

Adding notes

At the top of your timecard, click View/add notes to leave a message for your production team. Notes are visible to your timecard reviewer and are useful for:

  • Explaining any special circumstances

  • Providing context for multiple meal breaks or different work rates

  • Adding clarity to entries that might need explanation for the reviewer

Review and submit your timecard

When you've finished entering all of your time for the week:

  1. Click Expand all to review all entries before submitting

  2. Click the Save and Review button

  3. In the popup, check the attestation box to confirm the information is accurate

  4. Click the Submit button to send your timecard to your production team for approval

Once submitted, your timecard will appear in the Submissions list with the status Submitted. Your production team will receive a notification that it's ready for review.

Making changes to your timecard

Before you submit

If your timecard is still in Draft status, click the Edit button at any time to make changes. Updates to a draft don't affect the approval process.

After you submit — but before it's approved

Once a timecard has been submitted, you cannot edit it directly. To make changes, you'll need to ask your Production Coordinator to reject the timecard first. Once rejected, it will return to an editable state and you can make your changes and resubmit.

To request a rejection and resubmit:

  1. Contact your Production Coordinator and let them know you need to make changes to your submitted timecard

  2. Ask them to reject the timecard in Wrapbook

  3. Once rejected, open your timecard, click the Edit button, and make your changes

  4. When you're done, click Save and Review, check the attestation box, and click Submit again

Note: Any changes made after rejection will restart the full approval process from the beginning.

After your timecard has been approved or paid

If your timecard has already been approved or paid, contact your production administrators to request changes. Click the point of contact link on your timecard to send them an email directly. If additional time or allowances are added after approval, the timecard will return to Draft status and require re-approval from all previous approvers.
