# Using the admin view of a project worker's timecard

## Overview

The new worker timecards page delivers a clear, streamlined view of each submission and status, making it faster and easier to review and take action.

When managing project worker timecards, it's important to note that some elements within the timecard grid appear dynamically to reflect *Project* and *Payroll settings* and details within *worker profiles.*

## How to access a project worker's timecards

You can access a project worker's timecards page via:

- Their project-level [*worker profile*](/v1/docs/about-worker-profiles) - Click the **Manage worker timecards** button to go to the worker's timecards dashboard
- The project's [Timecards dashboard](/v1/docs/overview-of-the-timecards-dashboard-utc) - In the timecards grid, click the **View** link

To view a worker's timecard from the project's *Timecards* dashboard, click the **View** link in one of their submissions listed in the grid

## Project worker timecard page elements and actions

This section covers the elements and actions available on the admin view of a project worker's timecard page. It's organized into the following sections:

### Project worker timecard page elements - top section

Below is an example of the top section of a project's worker's timecard page:

The following worker timecards page elements help you understand the state of a worker's timecards:

#### Project worker timecard summary

At the top of a project worker's timecards page, directly under their name, you can click the date to select the timecard you want to see. Individual timecards are identified by the end date of the applicable workweek.

In the summary you'll see:

- The [status](/v1/docs/overview-of-the-timecards-dashboard-utc#timecard-status) of the selected timecard
- The number of days in the timecard
- The hour worked
- The number of [allowances](/v1/docs/add-an-allowance-to-a-project-workers-timecard) added
- The gross pay
- A link to the [batch](/v1/docs/batching-project-worker-timecards-utc) containing the payment (if it's already been batched)
- A link to the payment if it's been processed

#### Project worker details

Directly under the timecard summary are the details for the project worker’s [deals](/v1/docs/add-and-manage-worker-deals-on-a-project) including:

- ***Union affiliation / Department*** - The worker's guild or union for this project and the department they're working in. This determines available job titles, benefit and overtime rules, and can affect rates and day types.
- ***Default rate*** - The primary rate that pre-fills on the timecard for this worker and job. It's the rate most entries will use unless you select a different rate for a given day or segment.⁠[](https://help.wrapbook.com/docs/create-a-worker-timecard)⁠​
- ***Scale rate*** - The contractually defined minimum for the worker's union and classification. It's a reference point to ensure the paid rate meets or exceeds union minimums for the applicable agreement.
- ***Hire location*** - The work location on file for the worker's engagement. This influences tax handling and which local rules may apply when the timecard is calculated.

Click **View worker details** to see the following deal details without leaving the page:

- **Identity and classification**
  - Worker name and preferred name
  - Employment type indicator, including loan‑out or contractor status
  - Last four of SSN for ID verification
  - Union affiliation and Department
  - Production Entity, if the project uses multiple entities
- **Rates and pay context**
  - Rate info for the worker's current job setup, including available rates
  - Default rate that pre‑fills on the grid
  - Agreement‑driven context that affects how wages calculate
- **Coding and accounting defaults**
  - Default account coding for the worker that seeds the Line # / Account code cells on the Wages grid
- **Location and compliance**
  - Hire state or hire location used for tax and rule application
- **Allowances**
  - Click **Manage allowances** to open the project worker’s Manage allowances drawer where you can:
    - View the allowances assigned to the project worker
    - Track any allowance caps that have been set
    - Click the **pencil icon** to edit allowance caps

#### Wages grid

The headers that appear in the *Wages* grid depend on the *Project* and *Payroll settings* and the detail on the *worker's profile page.*

### 

**Default headers**

- *Call* — Call time for the day, used to derive hours and premiums
- *Meal 1, Meal 2* — Meal in and out times that drive meal breakage and penalties
- *Wrap* — End of day time, used to compute total and consecutive hours
- *Account code* — The cost code applied to that day's work so payroll dollars land in the right place in your budgets and accounting

**Time and day context headers**

- *Hours worked* — Computed total hours for the day from in-out times
- *Hours recognized* — Hours that count toward pay per rules (may differ from raw hours when caps/thresholds apply)
- *Travel duration* — Travel time counted for pay where applicable
- *Consecutive hours* — Hours since last wrap, used for turnaround rules

**Pay, rates, and overtime headers**

- *Rate* — The applicable base rate for the segment/line of work (shows 1.0x, 1.5x, 2.0x etc. as needed)
- *Wages ST* — Straight-time earnings for the day
- *Wages OT* (1.5x, 2.0x, 3.0x) — Overtime buckets and their earnings
- *Premium* — Marks special pay circumstances that trigger premium rates under the union agreement. Options include *6th Day* (worker's 6th consecutive day in the work week) and *7th Day* (worker's 7th consecutive day). Wrapbook applies the correct premium rate automatically based on the agreement and the selected value.
- *Other* — Other wage components tied to the day (for example, holiday pay, special day types)

**Location and coding**

- *Work location* — Where the work occurred, used for taxes and compliance
- *Line # / Account code* — Cost code applied to the day for accounting and reporting; defaults can be overridden inline

**Context and controls**

- *Notes* — Per-day notes for approvers and payroll review
- *Day type / Work type* — Labels like regular, sixth/seventh day, holiday, idle, which determine rules and rates. Shown when required by a union agreement.
- *Work zone* — Ties the day's work to the applicable zone under the union agreement, determining travel pay, zone premiums, and related calculations automatically. Available options depend on the production type and agreement. For a complete list of all work zones and what they mean, see [Timecard day types & work zones](/v1/docs/timecard-day-types-work-zones).
- *Deal* — Appears only for workers who have been assigned [more than one active deal](/v1/docs/add-and-manage-worker-deals-on-a-project) on a project. Use the per-row dropdown to select the deal that applies to that specific day. Different days in the same week can use different deals.
- *Breakage (read-only)* — Calculated total of overtime, meal penalties, and other rule-based pay adjustments required by the worker's union agreement or deal terms. Shows *TBD* until paymaster calculations are complete. [Learn more](/v1/docs/timecards-new-experience-faq#paymaster-calculations)

### Project worker timecards page actions - top section

From the timecards dashboard, you can take the following actions:

#### Select the timecard date

At the top of the page, click date dropdown button to select a timecard based on its week ending date.

#### Add to batch

Click **Add to batch** to add to a new or existing batch.

#### Add a note

You can click **Add note** to open a drawer where you can review and add notes.

Use the dropdown to select the note type before adding your note:

- *Note for everyone* - Visible to all company users and the project worker on their timecard.
- *Note for paymaster* - Visible to the Wrapbook Paymaster and other [authorized company admins](/v1/docs/roles-permissions). Project workers cannot see these notes.

In the drawer you'll see the history of notes added to the timecard. To delete a note, click the **trash icon** next to it.

#### See approval details, View audit log, Add other item, Add wage adjustment, or Delete timecard

Click the **Actions** button and make your selection.

#### Navigate between timecards

You can use the *previous* and *next* **arrow buttons** at the top of the admin view of a project worker's timecard to move through timecard submissions without returning to the project's [Timecards dashboard](/v1/docs/overview-of-the-timecards-dashboard-utc).

*Click the previous and next* ***arrow buttons*** *to navigate between timecards*

When a timecard is in a [batch](/v1/docs/batching-project-worker-timecards-utc#how-to-create-a-batch-of-timecards-for-payroll):

- The *previous* and *next* arrow buttons will move you through the timecards in that batch
- The batch name will appear to the left of the *previous* and *next* arrow buttons. If you click on the batch name, it will take you to the [batch page](/v1/docs/batching-project-worker-timecards-utc#overview-of-a-batch-page).
- You can click the Timecard count open a dropdown menu listing all timecards in the batch. To view a different timecard in the batch, click on the worker's name in the dropdown menu.

*When a timecard is already in a batch, click the* ***batch name*** *to go to the Batch page. To view a different timecard in the same batch, click the* ***Timecard count*** *to open a dropdown menu and make your selection.*

#### Export

Click the **Export** button to export any of the following:

- All items to CSV
- All items to PDF
- Hot Budget (with headers)
- Hot Budget (no headers)

#### Run wage calculations

Click the **Calculate** / **Recalculate** button at the top of the page.

#### Submit the timecard for review

Click the **Submit** button.

### Project worker timecard page elements - lower section

The lower section of a worker's timecard page displays additional pay items and a summary of how the timecard totals are calculated.

This section includes the following areas:

- Allowances
- Other wages
- Breakdown

These sections allow production administrators to review additional compensation items and see how they affect the worker's total pay for the selected timecard.

#### Allowances

The *Allowances* section displays allowance items that have been [added](/v1/docs/how-to-create-a-timecard-for-a-project-worker-utc#how-to-add-an-allowance-from-the-timecards-dashboard) to the worker's timecard.

Each row represents a specific allowance entry and may include the following fields:

- *Type* – The allowance type selected
- *Units* – The quantity associated with the allowance
- *Rate* – The rate used to calculate the allowance
- *Total* – The calculated amount for the entry
- *Date* – The date associated with the allowance
- *Work loc.* - The production location where the work was performed
- *Attachments* – Files that can be uploaded to support the allowance
- *Caps* - Shows *remaining* dollar amounts available and any *cap overages.* To update a project worker’s allowance caps directly from their timecard, click **Manage allowances**.
- *Notes* – Optional notes added to the entry
- *Codes / ACCT* – The account code associated with the entry

When an allowance is added, the calculated amount appears in the *Total* column.

Allowance amounts are included in the totals shown in the *Breakdown* section.

#### Other wages

Other wages in Wrapbook include the following *wage types*:

- Meal Penalty
- Straight Time
- Overtime
- Agent Fees
- Forced Call
- Travel Allowance
- Vacation Payout
- Unworked Holiday Payout
- Holiday Not Worked Straight Time
- Holiday Not Worked Overtime
- Consecutive Pay
- Program Fee
- Bonus
- Stipend
- Session
- Other Wage

**How to add other wages**

You can add other wages entries directly to the *Other wages* grid in the lower half of a project worker's timecard.

1. In the *Other wages* grid, click **Select expense type** in a cell under the *Type* column
2. Select either *Reimbursement (non-taxable)* or *Wages (taxable)* from the dropdown. Some of the information that you’ll be able to enter will depend on your selection.
3. All entries will allow you to add *Attachments*, *Notes*, and accounting codes
4. Make sure you click the **Save and recalculate** button at the top of the timecard to update the timecard

**How other wages entry affects worker tax withholding**

When adding entries, you can enter one combined amount covering multiple days, or a separate line for each individual day. The method you choose affects how much tax gets withheld from the worker's paycheck that period.

This means that:

- A larger single entry triggers more withholding upfront
- Best practice is to enter *Other wages* as separate lines; one per day, with the specific date for each entry to avoid over-withholding
- **Note:** *Bonus* is an exception. *Bonus* is withheld at a flat rate regardless of how the entry is split. Either way, the worker's total tax liability for the year remains the same.

For questions about how a specific wage type should be classified or taxed, consult a tax advisor. Wrapbook cannot advise on the tax treatment of specific wage types.

#### Breakdown

The *Breakdown* section provides a summary of the amounts calculated for the worker's timecard.

This section displays totals derived from the wages grid and any additional items entered in the *Allowances* or *Other wages* sections.

You can use the **Show codes** toggle to display the account codes associated with each item.

The breakdown is organized into the following groups.

#### Wages

The *Wages* portion summarizes earnings generated from the worker's time entries.

Common rows include:

- *Straight Time*
- *Overtime*

Each row may display:

- *Units*
- *Multiplier (Mult)*
- *Rate*
- *Amount*
- *Work location*
- *Deal*
- *ACCT (account code)*

A *Subtotal* row displays the total earnings from wages.

#### Additional items

The *Additional items* portion lists items added outside of the wages grid, including entries from the *Allowances* and *Other wages* sections.

Each item includes information such as:

- *Units*
- *Rate*
- *Amount*
- *Work location*
- *Deal*
- *Account code*

A subtotal is displayed for these additional items.

#### Total

At the bottom of the section, the *Total* reflects the combined amount of:

- *Wages*
- *Allowances*
- *Other wage items*

This total represents the full value of the timecard for the selected workweek.

Under the US Department of Labor, Fair Labor Standards Act, a fixed and recurring period of 168 hours — 7 consecutive 24-hour periods. All hours worked during that fixed period are tallied to determine if the employee has exceeded 40 hours.

By default, Wrapbook establishes a worker's workweek as starting on their first day of employment on the project. This is called a dynamic workweek because not all project workers will necessarily have the same workweek configuration.

(Social Security Number) A unique identifier issued to U.S. citizens and residents that serves multiple purposes including taxation and identification.

Period of time between each work day that is free from work. For most entertainment unions, the employee must have either 9 or 10 hours rest between the time they are dismissed one day until the their call time the next day.SAGAFTRA performers must receive 12 hours rest between dismissal and call.

Person responsible for processing payroll data to produce employee paychecks and reports; an individual who calculates inputs and processes payroll and is knowledgeable about the various union and guild requirements in their respective jurisdictions.

Designates end of weekly pay period; for local locations five days (Monday through Friday); for distant locations six days (Monday through Saturday).

The method of identifying a group of documents input to an accounting system together for data flow control purposes; in data processing, a group of items entered a unique alpha and/or numerical identifier and held until processed. Regarding payroll processing, “batch” often denotes a specific department.

Professional review of the ledger and transactions of a project to ensure compliance with laws & procedures. May be conducted by Federal or State agencies, labor union representatives, Studio or Financier representatives, or to review compliance with tax incentive guidelines.

A withholding is an amount deducted from a paycheck that is held for payment to another entity. Common examples of withholdings include federal and state taxes, and union dues.

An (Exempt Classification) unchanging fee paid for services rendered. This differs from a weekly or hourly rate in that usually no overtime is paid.
