# How to invite a worker to a project

## Overview

Wrapbook makes it easy to invite workers to your project and manage their onboarding process. This help article explains how to invite both new and existing workers to your project.

## Before you begin

> Inviting workers is permission based
> 
> To invite workers, your account must have one of the following [roles](/v1/docs/permissions-and-access-control) enabled:
> 
> - Role: *Company Admin, Company Manager, Project Coordinator*
> - *Custom role with: Worker hiring and startwork - Full access, Project access only*

Make sure you have:

- Access to the project you want to add workers to in Wrapbook
- The worker's email address
- The worker's job details and pay rate information

## Steps to invite a worker

To invite a worker to a project in Wrapbook:

1. In the left-side navigation, click the dropdown menu
2. In the dropdown menu, select the project you want to add the worker to
3. In the left-side navigation, click **People**
4. On the project's *People* dashboard, click the **Invite worker** button

The information that you’ll be required to enter in each section of the invitation is based on the selections you make while completing it.

To help you understand invitations for workers, we’ve put together this list of frequently-asked questions.

#### Can I change a worker's invited email after the invitation has been sent?

It depends on the current state of the worker's onboarding. Use the table below to determine whether the email can be edited:

| Situation | Can the email be edited? |
| --- | --- |
| Invitation has been sent, but the worker has **not** yet clicked the link **and** personal info has **not** been manually entered | ✅ **Yes** — follow the steps below |
| Worker has clicked the invitation link and accepted it | 🔒 **No** — email is locked |
| A production administrator has manually entered the worker's personal information (e.g., when re-hiring a returning worker from a prior project) | 🔒 **No** — email is locked |

**Note:** The email field locks as soon as personal information is entered — even if the worker has never clicked the invitation link. This most commonly affects returning workers whose profile data is pre-populated when they are added to a new project.

**To edit a worker's invited email (when editable)**

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **People**
3. Open the worker's profile
4. Under **Onboarding details**, find **Worker invited email**
5. Click the **Edit** button next to the email address
6. Enter the new email address and save

Once saved:

- The original invitation link sent to the old email address will be **invalidated**
- A new invitation with a fresh link will be sent to the updated email address

**What if the email is locked?**

If you don't see an *Edit* option next to the worker's email address, the field has been locked because the worker's personal information has already been entered or the invitation link has already been accepted.

Documents filled out by workers at the beginning of the work, which contains specific, vital information needed to process payroll.
