# About Files & exports (Documents)

## Overview

*Files & exports* (formerly *Documents*) is the project-level dashboard in Wrapbook where you can upload project files, download your project's Certificate of Insurance (COI), and bulk export tax documents and startwork.

## Access a project’s Files & exports dashboard

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**

## Files & exports dashboard elements

The *Files & exports* dashboard is organized into five tabs. Click a tab to view and download the files in that category.

| **Tax & startwork** | Signed tax forms and startwork documents for project workers, organized by document type |
| **Accounting** | Accounting-related documents for PAS projects (purchase orders, payment copies, vendor W-9s) |
| **Payroll & union agreements** | Exports, pay stub downloads, uploaded union agreements |
| **COI** | Your project's Certificate of Insurance, available for download |
| **Uploaded** | Files you've manually uploaded to this project |

**Note:** The *Accounting* tab is only visible on projects with the [Production Accounting Suite (PAS)](/v1/docs/about-production-accounting) enabled.

## Files & exports permissions

Access to tabs on the *Files & exports* dashboard depends on the user's role. Documents in the *Tax documents & startwork* tab may contain sensitive worker information (SSN, EIN, and other PII), which requires the *Sensitive worker information* permission.

**Note for Project Coordinators, Project Assistants, and Department Heads:** You can download tax documents and startwork from the *Tax & startwork* tab. Sensitive worker information (SSN, EIN, and other PII) will appear masked in the exported PDF — only the last four digits of each identifier are shown. If your role requires full access to unmasked values, a *Company Admin* can create a [custom role](/v1/docs/roles-permissions#custom-roles) with *Worker sensitive information* set to **Full access**.

## Upload a document

To upload a file to your project's *Files & exports* dashboard:

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the project’s *Files & exports* dashboard, click the **+ Add document** button in the top-right corner
4. On the *Add document* page, click the **Select a file** button to choose a file from your computer
5. Optionally, enter a **Description**
6. Under *Shared with*, select who can see this document:
  - *Company admins only*
  - *Company members only*
  - *Company members & project workers*
7. Click the **Save** button

## Upload a new version of an existing document

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Uploaded** tab
4. Find the document you want to manage and click the **three dots (⋯)** next to its name
5. Select **Edit**
6. Click the **Select a file** button to replace it with the updated version
7. Click the **Save** button

## View, edit, or delete an uploaded document

To manage a document you've already uploaded:

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. Click the **Uploaded** tab
4. Find the document you want to manage and click the **three dots (⋯)** next to its name

## Download the Certificate of Insurance (COI)

To download your project's *Certificate of Insurance*:

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the project’s Files & exports dashboard, click the **COI** tab
4. In the *Certificate of Insurance* tab, click the **Download** button
  - If your company has set up [production entities](/v1/docs/production-entities), you'll be prompted to select the *Production entity* to be listed as the *Certificate Holder* on the COI
5. Your computer's PDF viewer will open and display the COI
6. To save the file, click the download icon in your PDF viewer

## Bulk export Tax & startwork documents

The *Tax documents & startwork* tab lists all signed tax forms and startwork for your project workers, organized by document type.

Document types available for download include:

- Tax forms (W-4, W-9)
- Tax withholding forms (state forms)
- State-specific forms
- I-9
- Deal memos
- Document upload requests [(when enabled)](/v1/docs/how-to-add-training-requirements-for-worker-onboarding)
- All other startwork

**Notes:**

- You do not need to stay on the page while exports process
- Bulk exports download as a ZIP file. To access the files inside:
  - Mac: Double-click the ZIP file. A folder will appear in the same location with all your files inside.
  - Windows: Right-click the ZIP file and select **Extract All**, then choose where to save the files and click **Extract**

### Download all tax and startwork documents by type

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Tax & startwork** tab
4. Find the document type you want to export and click the **⋮** menu next to it
5. Select **Download all**
6. A *Preparing your export* notification appears at the top of the page
7. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

### Download documents for specific workers only

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Tax & startwork** tab
4. Find the document you want to download and click the **⋮** menu next to it
5. Select **Customize download**
6. In the *Select workers* popup:
  - Click to select the workers you want to include
  - Click the **Continue** button
7. In the *Confirm export* popup, click the **Export files** button
8. A *Preparing your export* notification appears at the top of the page
9. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

## **Bulk export Accounting documents**

The *Accounting* tab is only visible on projects with the [Production Accounting Suite (PAS)](/v1/docs/about-production-accounting) enabled.

Document types available for download include:

- Purchase orders
- AP invoices
- Payment copies
- Bank Reconciliation reports
- Journal entries
- Vendor W-9s

### Download all accounting documents by type

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Accounting** tab
4. Find the document type you want to export and click the **⋮** menu next to it
5. Select **Download all**
6. A *Preparing your export* notification appears at the top of the page
7. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

### Download documents for specific vendors only

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Accounting** tab
4. Find the document you want to download and click the **⋮** menu next to it
5. Select **Customize download**
6. In the *Select vendors* popup:
  - Click to select the vendors you want to include
  - Click the **Continue** button
7. In the *Confirm export* popup, click the **Export files** button
8. A *Preparing your export* notification appears at the top of the page
9. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

## **Bulk export Payroll documents**

The *Payroll* tab is where you'll find documents generated from your project's processed payroll.

It includes the following:

- Timecards
- Pay stubs

### Download all payroll documents by type

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Payroll** tab
4. Find the document type you want to export and click the **⋮** menu next to it
5. Select **Download all**
6. A *Preparing your export* notification appears at the top of the page
7. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

### Download payroll documents for specific workers only

1. In the left-side navigation, click the dropdown menu and select the project
2. In the left-side navigation, click **Files & exports**
3. On the *Files & exports* dashboard, click the **Payroll** tab
4. Find the document you want to download and click the **⋮** menu next to it
5. Select **Customize download**
6. In the *Select workers* popup:
  - Click to select the workers you want to include
  - Click the **Continue** button
7. In the *Confirm export* popup, click the **Export files** button
8. A *Preparing your export* notification appears at the top of the page
9. When the export is ready, an *Export is ready* notification appears with a **Download** link — click it to save the ZIP file

Documents filled out by workers at the beginning of the work, which contains specific, vital information needed to process payroll.

A company or individual providing a product or service.

(Social Security Number) A unique identifier issued to U.S. citizens and residents that serves multiple purposes including taxation and identification.

Employer Identification Number: Federal tax identifier used to identify a business

PII stands for **Personally Identifiable Information**. It refers to any data that can be used to distinguish or trace an individual's identity, either alone or when combined with other linked information.

Federal tax withholding form completed at time of initial hiring for tax calculation purposes.

A withholding is an amount deducted from a paycheck that is held for payment to another entity. Common examples of withholdings include federal and state taxes, and union dues.

A form to verify the identity and employment authorization of individuals hired for employment in the United States

A ZIP file compresses multiple files and folders together into a single file, making it easier to store and share. When you "unzip" it, you get access to all the original files and folders inside.

(Accounts Payable) Cash disbursements through the payment of vendor invoices and other payables

The procedure of reconciling (sometimes referred to as balancing cash) the bank balance reflected on a ledger to the bank balance reflected on a bank statement for a given period; to balance a bank statement.
